What gets talked about less is the invisible half.<\/p>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">Which PMS you will run. Which loyalty engine feeds into it. Which booking channels you will connect. Which cybersecurity standards you must meet. Which reporting formats corporate will demand. Which supplier ecosystem you inherit whether you like it or not. That invisible half is where the IT department finds out, six months in, what the deal actually was.<\/p>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"cards-label wp-block-paragraph\">Two decisions in one signature<\/p>\n<\/div>\n\n<div class=\"block container block-post-cards\" data-name=\"Cards\" id=\"block_e62abc150e3815f1b2dcf16948c624fb\">\n    <div class=\"post-cards\">\n                            <div class=\"post-cards__grid\">\n                                    <div class=\"post-cards__item\">\n                                                    <h4 class=\"post-cards__item-title\">The commercial deal<\/h4>\n                                                                            <div class=\"post-cards__item-text\"><p>Brand fees, RevPAR uplift, marketing exposure, loyalty reach, franchise term, exit clause, geographic protection.<\/p>\n<\/div>\n                                            <\/div>\n                                    <div class=\"post-cards__item\">\n                                                    <h4 class=\"post-cards__item-title\">The technology stack you inherit<\/h4>\n                                                                            <div class=\"post-cards__item-text\"><p>PMS choice, booking engine, revenue management platform, loyalty integration, guest data flow, WiFi standards, in room entertainment platform, cybersecurity requirements, supplier ecosystem, integration APIs, data ownership at exit.<\/p>\n<\/div>\n                                            <\/div>\n                            <\/div>\n            <\/div>\n<\/div>\n\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\"><strong>Neither half is optional.<\/strong> Both come with the signature. The question is only whether you weighed both before signing, or discovered the second one afterwards. Choosing a hotel brand is, in practice, choosing the systems your teams will operate for the length of the contract. Owners who treat the technology inheritance as a footnote tend to meet it later as a budget line. Owners who weigh it upfront negotiate from a clearer position.<\/p>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"eyebrow wp-block-paragraph\">Chapter 02<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h2 class=\"wp-block-heading\">Six hotel brand factors, read through an IT lens<\/h2>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">The classic six brand factors, read through the operational reality of the next ten years. Each of them has a second layer that rarely makes the term sheet. The first layer is the language of the brochure and the franchise disclosure. The second layer is the language of your IT budget, your integration map and your compliance file. Both layers are real. Only one of them is printed.<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h3 class=\"wp-block-heading\">Market alignment<\/h3>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">Read as: does the brand fit your target guest. Also read as: what technology does that guest expect in room. A business hard brand assumes fast WiFi, casting to the TV, IP telephony that works. A boutique soft brand assumes personalised digital touches. Same guest count, two very different tech budgets.<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h3 class=\"wp-block-heading\">Brand support<\/h3>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">Read as: what marketing and training the brand provides. Also read as: what IT support the brand does not provide. Most brands stop at the PMS boundary. Everything else, from access points to endpoint security to the printer at the front desk, is yours. Ask which side of the line each system lives on before signing.<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h3 class=\"wp-block-heading\">Technological infrastructure<\/h3>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">Read as: is the brand modern. Also read as: how modern will they let you be. Some brands mandate specific PMS and IPTV vendors. Others allow flexibility. The flexibility question decides whether your IT roadmap is yours or theirs.<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h3 class=\"wp-block-heading\">Financial considerations<\/h3>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">Read as: franchise fees, revenue share, ROI. Also read as: the cost of running mandated technology stacks that may not be the cheapest ones for your property size. And the cost of migrating away when the contract ends. Mandated systems carry licence structures, support contracts and upgrade cycles that were negotiated for a portfolio, not for your property. Model those costs over the full term before comparing hotel brand offers.<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h3 class=\"wp-block-heading\">Contractual flexibility<\/h3>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">Read as: how easy is it to leave. Also read as: at exit, who owns the guest data, which systems you can keep, which you must return. This is not a technology question until you leave. Then it is only a technology question.<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h3 class=\"wp-block-heading\">Brand culture and values<\/h3>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">Read as: cultural fit. Also read as: how the brand handles security incidents, downtime and third party access. When a breach happens, whose incident response plan runs. When the WiFi fails at 2am, who is accountable to the guest.<\/p>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"eyebrow wp-block-paragraph\">Chapter 03<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h2 class=\"wp-block-heading\">Hard, soft or independent<\/h2>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">Three affiliation models. Three tech ownership shapes. Same operating question, three different answers to who controls the stack. Choosing a hotel brand model is also choosing how much of your technology roadmap you keep. That trade is rarely stated plainly in the negotiation. It should be, because it sets your IT reality for the length of the agreement.<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h3 class=\"wp-block-heading\">Hard brand<\/h3>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">Strict standards, global recognition, powerful loyalty. In return: the brand mandates most of the technology. PMS is prescribed. Booking channels are set. Loyalty integrations are non negotiable. Your IT autonomy narrows. Your compliance load also narrows, because the brand carries much of it. Best for high traffic locations, business travellers, owners who want operational simplicity.<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h3 class=\"wp-block-heading\">Soft brand<\/h3>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">Central reservations, marketing reach, membership in a family, but with local character. In return: more flexibility on the tech side. You often choose your PMS within an approved shortlist. You keep more of your IT roadmap. You also keep more of the responsibility. Best for destinations with local flavour, boutique properties, owners who want reach without full standardisation.<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h3 class=\"wp-block-heading\">Independent<\/h3>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">Full autonomy over positioning, technology and identity. In return: no central marketing, no reservation muscle, no loyalty engine, no compliance framework you can lean on. Every layer is yours. Every layer is also your risk. Best for destination properties with strong local demand, owners with strong operational capability, and hoteliers who treat their tech stack as competitive advantage rather than overhead.<\/p>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"eyebrow wp-block-paragraph\">Chapter 04<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h2 class=\"wp-block-heading\">The cybersecurity clause<\/h2>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">Under the NIS2 directive, cybersecurity accountability at hotels of a certain size sits with the operator. Not with the brand. Not with the PMS vendor. Not with the reservation system provider. If your loyalty integration leaks guest data, the personal liability lands on your board, individually, not on the brand&#8217;s board.<\/p>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">This changes the calculus of the negotiation. The brand&#8217;s cybersecurity standards are your starting point, not your finish line. Meeting those standards proves alignment with the brand, not compliance with the law. The directive judges your property on its own controls, its own registrations and its own response readiness. That work stays yours, whatever logo hangs above the door.<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h3 class=\"wp-block-heading\">Three questions to ask the brand<\/h3>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\"><strong>Who has access to what.<\/strong> Which brand systems and third party suppliers get logins to your PMS. Which have access to guest data. Which have write access. Which have admin rights.<\/p>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\"><strong>How is data protected in transit and at rest.<\/strong> Encryption standards, backup arrangements, data residency, the incident response protocol when a shared system gets breached at brand level.<\/p>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\"><strong>When does data leave the hotel.<\/strong> Central reservation systems, loyalty engines, revenue management platforms all move guest data outside your building. Under NIS2, you are accountable for it once it leaves.<\/p>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">The brand&#8217;s answer to these three questions is not a due diligence formality. It is the shape of your compliance risk for the length of the contract. Write the answers down and keep them with the contract file. Revisit them when systems change or suppliers are replaced. We ask these questions for our clients as standard practice, because the same team designs and delivers the environment that has to live with the answers.<\/p>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"eyebrow wp-block-paragraph\">Chapter 05<\/p>\n<\/div>\n\n<div class=\"core-content heading-content\">\n<h2 class=\"wp-block-heading\">Bring IT into the room before the ink dries<\/h2>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">Most brand negotiations run with legal, finance and the owner in the room. IT gets consulted afterwards, if at all. That is how hotels end up committing to platforms their own team cannot maintain, integrations that will not fit their existing environment, and data sharing arrangements that expose them under NIS2. The fix is straightforward. Bring someone with technical accountability into the negotiation before the term sheet is signed, not after.<\/p>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">The technical questions worth putting on the table are practical and specific. Which PMS is mandated, permitted, or forbidden. Which integrations the brand will accept. Which data flows out of your building, to where, under what encryption. What happens to guest data at contract end. Who owns the WiFi standards and who audits them. What happens if a shared brand system suffers a breach: whose incident response plan runs first, and who talks to guests. None of these questions is exotic. All of them have consequences that outlast the deal.<\/p>\n<\/div>\n\n<div class=\"core-content paragraph-content\">\n<p class=\"wp-block-paragraph\">This is why we sit in on brand negotiations for our clients when asked. Not to make the commercial decision, that is the owner&#8217;s, correctly. But to translate the technical implications of the commercial terms into language the board can weigh. Every clause that mentions a system, an integration or a data flow has an operational reality that plays out over the length of the contract.
