Chapter 01 · The situation

When Meet Work Stay is the business, IT is not a support function.

Postillion Hotels has been part of the Dutch hospitality landscape since 1959. Eight properties, three of them full convention centres, near the highway network the country runs on. But the number that matters most for how we designed this partnership is not eight. It is seven out of eight properties awarded the highest possible Vergaderhamer mark. That mark exists because Postillion sells something most hotels do not.

For a hotel with a convention centre, downtime does not have a guest. It has a customer.

A guest at a traditional hotel with a bad WiFi experience writes a review. A corporate customer at a Postillion convention centre with a bad WiFi experience during a two hundred person conference calls the events manager, cancels the follow up booking, and takes their entire annual meeting programme somewhere else. The failure mode is different. The remedy has to be different too.

Three convention centres, eight properties, one operating model

Amsterdam, Utrecht Bunnik and WTC Rotterdam each carry full convention centre operations: multi day conferences, product launches, hybrid events with streamed content, large scale corporate off sites. The other five properties run smaller meeting business alongside their rooms operation. Every property, without exception, needs to deliver the Meet Work Stay experience: business point access, plug and play meeting connectivity, reliable video calls from a room, and the underlying network capacity to make all of that work simultaneously.

Sustainability is not a marketing overlay

Every Postillion property carries Green Key Gold certification. That includes the ICT infrastructure. Efficient equipment, cloud managed with low on premise footprint, monitoring that catches waste before it becomes a bill. When sustainability is part of the brand promise, it has to hold up in the machine room as well as the guest facing spaces.

Chapter 02 · What we manage

Managed IT Support is not a service tier. It is the operating model.

Managed IT Support is the Sbit engagement that owns the operational IT layer end to end. For Postillion, that means every domain that touches the guest, the event, the staff and the back office sits under one partnership, one dashboard, one accountable team. Not a purchasing preference. What the operating model demands.

Most hospitality groups take a service here, a service there, and stitch the rest together across vendors. Postillion took the opposite decision, and it was the right one for this business. When a corporate customer at a convention centre needs someone accountable at 09:00 on a Monday, “call five different vendors and figure out whose problem it is” is not an answer. Managed IT Support removes that entire failure mode from the operating model.

Chapter 03 · How we operate

Event day is not average day. The operating model reflects that.

In a traditional hotel, IT operations follow the rhythm of check ins and check outs. Postillion has that rhythm too, but on top of it runs a second rhythm: the event calendar. A Monday morning at a convention centre carries load that a Tuesday afternoon does not. The operating model has to hold up for both.

Pre event technical readiness

Before a major conference starts, the property’s technical setup is validated against the event brief. WiFi capacity in the specific rooms in use. AV integration verified. Streaming bandwidth confirmed for hybrid events. Backup connectivity in place. Reception and event desk phones tested. This is not marketing overhead. It is what makes the difference between an event that runs and an event that scrambles.

Standby during event windows

During large event windows, monitoring shifts from passive to active. Alerts that would be quiet on an average day get treated as leading indicators. The response time for anything touching the event environment shortens. This is not something a shared MSP with a mixed client portfolio can deliver consistently. It requires a partner who knows which windows matter and staffs accordingly.

Fast post event reset

The moment a large event closes, the environment has to reset for whatever comes next. Cleanup of temporary access, restoration of default network segmentation, verification that no configuration drift remains. Postillion often runs consecutive events with different corporate customers in the same week. The reset window between them is short and non negotiable.

The invisibility principle

The best measure of managed IT support in this environment is what does not happen. Corporate customers who booked their next event before the current one finished. Event managers who did not receive an escalation call during the keynote. Reception teams who never had to explain a technical failure to a checked in guest. When it works, it is invisible. That invisibility is engineered.

Reliability builds repeat bookings. Repeat bookings build the P&L. The chain is short. IT sits at the start of it.

Outcomes across four audiences.

A partnership at this scope produces different outcomes for different people looking at it. Guests, event customers, hotel management and finance each measure something the others do not. All four measurements sit on the same operating model.

Finance and the board

Predictable managed services fee. No surprise capex. Costs that scale linearly with the portfolio, not step wise with each incident. NIS2 personal liability exposure covered by documented, audited security controls.

The sustainability line

Cloud managed infrastructure means less on premise hardware, lower cooling requirements, lower energy footprint per property. Chapter 05 · The partnership

Postillion is not a typical hospitality client. That is exactly why the partnership works.

Most hotel groups treat IT as an operational overhead. Postillion cannot afford to. When a corporate customer books your convention centre for a two day product launch, they are not paying for a room. They are paying for the environment inside which their event either succeeds or fails. IT is a substantial part of that environment.

Working with Postillion means understanding that difference in the design phase, not discovering it during the first incident. It means staffing the event calendar as a first class input into the operating model. It means treating the security posture as a corporate commitment the sales team can quote to prospects, not just a compliance artefact.
