Chapter 01

Hotel guest WiFi is part of the room now

Guests treat connectivity like hot water. Always there, never discussed, unforgivable when missing.

Guests arrive with three devices each, expect to stream, cast and take video calls, and judge your hotel on how effortlessly that works. Yet many properties still treat WiFi as a utility: installed once, upgraded when guests complain. The hotels that win treat it as a designed service: engineered per room type, monitored continuously and secured as part of the wider network.

The stakes are easy to underestimate because the failure is quiet. A guest whose video call drops does not call reception. They finish the call on their phone, form an opinion and put it in the review three days later. By the time WiFi shows up in your scores, it has been failing politely for months.

Think about what one evening asks of the network. A couple in room 214 casts a film. Two floors down, a conference guest uploads a presentation. In the restaurant, thirty phones sit on the guest network while the kitchen printer, the POS and the keycard system work alongside them. All of that is one shared piece of infrastructure, and the guest expects it to behave like the fibre connection at home. That expectation does not negotiate.

Nobody asks reception whether the hot water is fast today. WiFi has joined that category.

Chapter 02

What a guest grade network requires

Coverage is the start, not the finish.

Full bars in every room is the level most installations aim for, and it is not enough. A guest grade network has four layers, and a weakness in any one of them ends up in the same place: the review. Hotel guest WiFi carries the whole evening: the casting session, the late video call, the work file sent at midnight. When one layer is weak, the front desk hears about it on a full house. These are the four we engineer for in every property.

Coverage & capacity

A site survey per property, access points engineered per room type and capacity planned for a full house with three devices per guest. Coverage maps from the lobby brochure do not check in. Guests do. Concrete walls, lift shafts and decorative steel do strange things to radio, so a design that works on paper can fail in the corner suite, which is usually the expensive one.

Casting & entertainment

Guests want their own content on the big screen. That requires WiFi and the in room platform designed together. It also has to work in the first thirty seconds, without an app download or a printed instruction card. If casting requires a tutorial, it does not exist. How that lands across a group is covered in one brand on every screen.

Segmentation & security

Guest traffic, operations and IoT belong on strictly separated segments. One flat network turns a guest device into a route to your PMS. Under NIS2 that separation is simply expected. Segmentation also contains damage: a compromised guest laptop should end its journey on the guest segment, not wander into your booking data. When an incident comes, the network design decides whether it is an inconvenience or a headline.

Monitoring

Know about degradation before the review does. Continuous monitoring per access point catches failing hardware and saturation while it is still invisible to guests. An access point that fails at 23:00 on a Friday will not be reported by anyone. Guests just give up. The network has to report on itself, and someone has to be awake to read it.

These four layers are not a menu. A hotel that surveys well but never monitors will drift back into complaints within two years. We have seen properties with excellent coverage and a flat network, and properties with clean segmentation that nobody watched after go-live. Both ended with a front desk apologising for something IT should have owned. The requirement is the set: engineered together, kept together and reviewed as one system.

Chapter 03

Guest WiFi in three numbers

What the network has to live up to.

You do not need a research report to size the challenge. Three numbers from your own operation tell the story. Walk the property on a busy evening and they present themselves: counts your front desk could confirm tonight. Each one sets a hard requirement for hotel guest WiFi.

Three devices per guest

Count what walks through your lobby: a phone, a laptop, a tablet or a watch, per pillow. A full house in a 120-room property can put several hundred devices on the network before a single conference delegate arrives. Every one of them expects to stream. A design from the era of one laptop per room is not an old network. It is a different network.

One evening

That is how long a guest gives you. The stay is judged in the hours between check-in and sleep, and connectivity is woven through all of them: the casting session, the video call home, the restaurant reservation made from the bed. Miss that window and there is no second attempt with that guest. The network has to be right the first evening, every evening.

Zero tickets

The target for guest facing WiFi is not a faster response to complaints. It is the absence of complaints. We treat every guest WiFi ticket as a design question: why did the network let this reach a human? A helpdesk that resolves WiFi tickets quickly is good. A network that stops producing them is the standard.

None of these numbers appears in a brochure. All of them appear in your operation, tonight. A utility gets attention when it breaks. A designed service gets attention on a schedule: capacity reviewed before the season, maintenance done in the quiet hours. Sizing the network against these numbers is what separates a designed service from an installed utility.

Chapter 04

How we build networks guests never notice

Design, deploy, then manage. Forever.

As part of Managed Infrastructure, we run guest networks as one foundation with your servers and cloud: engineered upfront, deployed outside your peaks and managed continuously afterwards.

The order matters. Hotels often start at deploy, buying access points before anyone has measured the building or drawn the segmentation. The hardware is rarely the problem. The missing engineering around it is. We regularly find recent, capable equipment delivering a poor guest experience because placement followed the ceiling plan instead of a measurement. Buying before designing is the most expensive shortcut in hotel networking.

Survey

Measure the building as it is: walls, interference, dead spots, usage patterns. Floor plans lie. The only site survey that counts is the one done with instruments, in the building, room by room. A renovated wing, a mirrored wardrobe or a neighbouring venue changes the radio picture in ways no drawing shows. The measurements, not the assumptions, are what the design stands on.

Design

Engineer coverage, capacity and segmentation per room type and area. The corner suite, the spa, the underground meeting room and the terrace each get their own answer, because each poses a different question. The design also fixes what stays separated: guest traffic, operations and building systems on their own segments. Capacity is sized for the busiest night on the calendar, not the average Tuesday.

Deploy

Install and cut over outside peak occupancy. Guests should notice nothing. Cutovers happen in the quiet hours and the low season, with a rollback ready. An upgrade that disturbs a full house has failed before it starts. That takes planning that respects the hotel calendar: the wedding on Saturday, the conference block in autumn, the weeks when every room sells. We rehearse the cutover before it happens, so the risk sits with us, not with the front desk.

Manage

Monitor 24/7, tune continuously and plan upgrades ahead of demand. This is where most WiFi projects go wrong: they end. Ours do not. The team that designed the network keeps watching it, so degradation is recognised, not rediscovered. When an access point starts degrading on a Friday evening, that is ours to see and solve. We own the outcome of the guest WiFi, not just the ticket about it.

A network is never finished. Devices, expectations and standards move every year, and the design has to move with them. The properties that stay silent in reviews treat that movement as routine maintenance, not as a crisis every five years. Budgeting works the same way: a predictable line for continuous care instead of a capital surprise when complaints finally force a rebuild. Planned evolution is cheaper than rescue, delivered around every operational calendar.

Chapter 05

The best compliment your WiFi will ever get is silence.

Silence in the reviews is the sound of a network doing its job.

No guest ever wrote a review praising an access point. They write about evenings that simply worked. That is the standard: connectivity so reliable it disappears from the conversation. That silence is earned, not lucky. It comes from a survey done properly, a design that respects the building, a cutover nobody noticed and a monitoring screen someone actually watches at 23:00. Take any layer away and the silence eventually breaks, usually on a full house, usually in a review that says everything else was lovely.

There is a commercial edge hiding in it too. Properties compete on breakfast, beds and location, and increasingly on whether the evening simply works. A network that lets guests cast their own series, take the late call and fall asleep to their own content is part of the room product now, as real as the mattress. It just never gets photographed.

So hold your WiFi to the hospitality standard, not the IT standard. Not up or down, but worthy of the room rate. The question is simple: would you defend your guest WiFi in the same breath as your beds and your breakfast? If your network was designed once and has been apologised for ever since, that is the conversation to have before the next season, not after it.

WiFi is judged on the fullest night of the year. Build for that night.
